Scanning, Optical character recognition (OCR) and Image or Document conversion technologies

  • Through electronic documentation, immediate and easy access to the bulky record of documents.
  • The documents are either manually i.e. by scanning or through specialized optical character recognition (OCR) or intelligent character recognition (ICR) software converted into a format such as MS Word, TXT, RTF etc. as per the requirement of the client. Scanning documents and inserting into the database is done by using scanners and various softwares especially designed for electronic document management. The selection of scanners and software depends on the volume and the time scale of the assignment. The scanned documents and images which are in Tif, JPG,GIF etc. formats are then converted into a desirable format i.e., to PDF / Word / Excel etc.
  • The electronic data can be delivered in various different formats like ASCII, CSV and database files through CGI scripts.
  • Our electronic and scanned documents and images are then combined into a single location for easy access and fast retrieval.

Conversion by word processing or typesetting document

  • Whether printed or hand-written, we provide highly accurate and rapid service to manually enter the data into an electronic format.
  • The recognized input is converted into a standard format which can be opened in any word processing application, facilitating the user to edit the text data.

Indexing and Coding for a large collection of electronic documents

  • Indexing and Coding is the process of identifying and extracting information specific to each document into a common form so that the documents are rendered searchable at any later date.
  • Coding makes the search process easier. Coding could be immensely useful for creating in-house use knowledge bases. Coding requires legal expertise and understanding of the content of such documents. We can provide safe, economical storage of the documents that can be easily indexed and then quickly retrieved when needed.
  • Our processing also involves data extraction and indexing based on the requirements of our clients. The following are different forms of Indexing and Coding

    (i) Indexing or Objective Coding
    Indexing is the process of extracting information from the entire document into a searchable database. The fields usually included for objective coding are document title, document date, author, recipient, copies, document type etc.
    (ii) Subjective Coding
    Subjective coding is the process in which the information is sought from the document, analyzed and then summary of the document is prepared. The subjective information helps the client to narrow down the search where the document set is large.
    (iii) In-Text Coding
    In-text coding is the line-by-line review of each page of the document for specific keywords, product names, individuals' names etc.
